Know what was agreed. Review what comes next.

Usage rights and renewals in Posa’s model and talent agency software are designed to keep the original agreement, its end date and the next proposal easy to tell apart, for each person in the campaign.

Explore the usage-review design. Live rights management and renewal delivery are still to come.

Renewal still needs review

No agreed renewal is recorded. Nia’s missing reply remains visible.

A fictional later stage of the Juniper booking, assuming the original terms were separately agreed. The original licence and the proposed renewal remain separate; this illustration records no real permission.

Start with the original use.

A renewal is easier to review when the agency can see the actual agreement, the people it covers and what the client now wants to change.

  1. Check the agreement for each personRecord the agreed dates, media, territory and exclusivity, with the relevant agreement references. Keep missing information open for follow-up.
  2. Make the next request specificDescribe the proposed period and any different media, territory or exclusivity. Keep the proposed commercial terms with the people they cover.
  3. Review the current proposal with everyone affectedKeep the client’s response and each talent’s response separate. A changed proposal needs a fresh decision on the changed terms.
  4. Record the agreed renewal separatelyAfter the required agreements have been checked, retain the original terms and the newly agreed use as separate records. Pass any billing work to accounts.

“Same campaign” can mean different usage.

Juniper’s original fictional UK digital licence ends on 28 February. A request for more time starts a renewal review; adding European paid social changes more than the end date.

Original use

UK website and organic social

Both people have an explicit original period. The original agreement stays readable even while a renewal is being discussed.

Changed request

Europe and paid social too

Prepare a revised proposal with the requested territory and media. Earlier replies to UK-only terms do not establish agreement to this new use.

What if the client changes the scope after someone has agreed?

Keep the earlier proposal and the replies that belong to it. Set out the changed dates, media, territory or exclusivity in a new version, then review that version with the client and every affected person.

In the Juniper example, Maya’s agreement to version 1 cannot stand in for her agreement to European paid social in version 2. If only Maya is to be included, make that a separate, explicit proposal and obtain the relevant agreements; do not quietly remove Nia from the old one. A quote, invoice or payment does not itself extend the original rights.

Review the design before relying on it.

The wider product preview explores original agreements, per-person usage and renewal review. It is separate from the private staff workspace’s saved booking drafts; it is not a live rights service.

Private staff preview

Save linked talent, client, enquiry, package and booking drafts. The private-preview information explains the current workspace.

Workflow design

Live agreement recording, secure recipient access, renewal sends and accounting follow-through remain future work. No automatic permission, reminder or rights extension is offered here.

Three questions for your walkthrough.

Bring one representative agency job. Ask to see the ordinary path and what happens when a meaningful detail changes.

Can you find the original scope?

Ask to see the dates, media, territory, exclusivity and agreement for each talent. Unknown history should be visible, with someone responsible for checking it.

Can one person’s answer stay separate?

Try a two-person proposal where one agrees and one has not replied. Neither person’s status should be copied to the other.

What happens when the request changes?

Add paid social or a new territory after an earlier reply. Ask which version is now under review and who needs to answer again.

The details worth asking about.

Practical questions about this workflow and the limits of the current preview.

Does a renewal quote extend the existing licence?

No. A proposed price or period is a proposal. The original terms remain as recorded until the relevant new agreement has been checked and recorded separately.

Can the original end date be guessed from the shoot date?

The design keeps unknown dates visible for review. A shoot date, assumed first publication or approximate duration should not silently become an agreed end date. Check the original agreement and publication information where relevant.

Can a client agreement cover every talent automatically?

The review design keeps the client and each affected talent distinct. An unanswered or declined proposal for one person must not appear agreed because someone else has answered.

Will Posa send renewal reminders today?

This public page demonstrates the intended review journey. The private staff preview does not run live renewal reminders or send renewal proposals. Operational follow-up and delivery need a connected service before agency reliance.
