The right call. The right person. The right day.

Call sheets in Posa’s model and talent agency software are designed to give each person the practical details for their day, while keeping changed calls and booking terms clear.

Version 1 stays in history. It is not the current proposed arrival.

Version 2 needs fresh review. Missing address and contact stay visible.

09:15

Nia · separate details

Her proposed call is unchanged. Maya’s reply says nothing about Nia’s day.

Agency-only notes and fees do not belong in these shared practical details.

Illustrative logistics after a separately reviewed booking. These incomplete call details are a design preview, not a ready-to-use call sheet or a delivered message.

Prepare the day around the person.

A shared job can still mean different arrivals, travel arrangements and instructions. Keep those details attached to the person and the work date.

  1. Start from the reviewed bookingCheck the people, work date and agreed terms first. A production note does not replace the booking confirmation.
  2. Prepare practical details for each daySet the call time, arrival address, transport, on-site contact and shared instructions. Review person-specific differences and leave missing details visible.
  3. Review the people and the versionCheck who should see which details before preparing a call-sheet version. Keep agency-only notes and financial information out of the shared sheet.
  4. Check a changed call againRetain earlier versions. A reply to yesterday’s sheet or an old call time must not appear as acknowledgement of new details.

A new call time needs a new answer.

In the fictional Juniper job, Maya’s arrival moves from 08:30 to 08:45 on Friday. Nia still has a separate 09:15 call. The booking’s agreed fees and usage remain a different record.

What if the address, call time or work date changes?

Keep the earlier sheet in history and make the changed details clear in the new version. Ask the affected person to review their current day’s details. Maya’s reply to 08:30 must not appear as acknowledgement of 08:45 or a new address.

If the work moves to another date, return to the booking and availability review as well. A revised call sheet cannot by itself establish availability or amend the agreement. Another day needs its own person-and-day details; do not reuse Friday’s answer as a reply for Saturday.

Read the journey. Check the delivery boundary.

The wider product preview includes saved call-sheet versions and person-and-day review. The private staff workspace currently saves linked booking drafts; it does not deliver those call sheets to talent.

Private staff preview

Save linked talent, client, enquiry, package and booking drafts. The private-preview information explains the current workspace.

Workflow design

Secure recipient access, live delivery and dependable acknowledgement history need a connected call-sheet service. A saved design version is not evidence that anyone received it.

Three questions for your walkthrough.

Bring one representative agency job. Ask to see the ordinary path and what happens when a meaningful detail changes.

Can each person see just their details?

Ask to see two talent on one job with different arrival times. Check that shared instructions are useful and private agency notes and fees stay out.

Can you explain a changed sheet?

Change one address or time. Find the earlier version and show which person needs to review the new details.

Is a saved sheet distinct from delivery?

Ask what proves the current sheet reached the intended person, and what staff should do if it did not. A prepared document alone is not that proof.

The details worth asking about.

Practical questions about this workflow and the limits of the current preview.

Is a call sheet the booking agreement?

A call sheet gives practical information for the working day. The booking agreement covers the agreed work and commercial terms. The design keeps both connected while retaining their different purposes.

Does an acknowledgement mean every detail is agreed?

A call-detail acknowledgement relates to that person, day and saved details. It does not establish agreement to fees, usage rights or a different version of the booking.

Can a sheet be ready with an unknown address?

Missing details need a clear follow-up before people rely on the sheet. The example deliberately leaves the address and contact incomplete so a tidy layout cannot make the day appear ready.

Can Posa send call sheets today?

The public page and wider product preview show the intended journey. The private staff preview does not send call sheets, text talent or confirm delivery. Live sends and authenticated recipient access remain future work.
